Purchase Overview

General description #

The purchase overview report provides a summary of all your company’s purchase contracts. The report includes details about each purchase contract and its related fields. The report shows the current balance of each contract, helping you see how much quantity is still available. You can also find information on the quantity that is planned, invoiced, and amortized (which won’t be delivered). This report helps you plan and track purchase contracts that can be closed and monitor the average supply to a specific supplier or region.

Columns #

  • Contract Date: As the name indicates, it carries the contract date value. Hover over the column name, and it will display short information “Date contract was closed”. This is the date the contract was closed and not the date the contract was put in the system.
  • Contract Number: This column will display the contract number entered in the field. Hover over the column, and it will display the short info “Contract number.”
  • Subsidiary: This column will display the subsidiary’s name for this contract. Hover over the column name, which will display a short information “Subsidiary that owns the contract/lot”.
  • Broker Contract: Hover on the column, which will display the info “Contract number of the broker”. The broker will have their own contract number involved in a trade between the subsidiary and the supplier.
  • Broker shortcode: This column will display the name of the broker involved in this contract. Hover over the column, displaying the info “Broker involved with this contract”.
  • Country of origin: Hover over the column, and it will display the info “Country of origin”. This column will display the value of the origin country of the product.
  • Trader: Hover over the column, displaying the info “Trader/Sender of the contract”. This is the trader dropdown and signifies who closed this contract.
  • Broker Region: The column displays the region of the broker involved in the contract. Hover over the column, displaying the info “Region of the broker”.
  • Counter Contract number: Hover over the column, displaying the info “Contract number as known by supplier”. The supplier will almost always have their contract number.
  • Relation Name: Hover over the column, and it will display the info “Buyer/seller of the product”. The relation here can be the buyer or the seller of the product used in the contract.
  • Logistic employee: The internal contact person associated with the contract is shown in this column. On hover, displays the info text “Responsible logistic employees”.
  • Product code: This column will display the product code. Hover over the column, which will display the info “Short code of the product”. This is the product code used on the contract that the supplier will deliver.
  • Product group: Hover over the column, displaying the info “The product group the product belongs to”.This is the product group the product is part of and is defined in the product root data.
  • Product specification: Product specifications details will be shown in this column. You can enter a specification per product on the contract in the specification field. On Hover, it displays the info text “Product specification”.
  • Contract Text Line 1, Contract Text line 2: Per contract, you can choose 1 or more fixed text lines(quality regulation, customs status, etc.) from the dropdown.
  • Packaging: Hover the column, which will display the info “Packing of the Product”. Per product on the contract, you can choose a packing from the dropdown menu.
  • Delivery condition: These are the conditions for delivery agreed upon per contract. Who needs to pick/ship it up until/from where. On Hover, it displays the info text “Delivery condition”.
  • Currency: The currency selected in the contract will be displayed here. On Hover, it displays the info text “Contract Currency”.
  • Location/delivery address: The address selected for the delivery is displayed in this column. On Hover, it displays the info text “Address chosen for delivery”.
  • Exchange Rate: Hover over the “Currency exchange rate” column. The exchange rate of the currency of the contract for the base currency of the subsidiary is displayed in this column.
  • Price per ton F.C.: Hover over the column, displaying the “Price per 1000 units in foreign currency”. This is the price for the product per 1000 units in foreign currency or currency used in the contract.
  • Price per ton in base currency: Hover over the column, displaying the info “Price per 1000 units in base currency”.This is the price for the product per 1000 units in the base currency of the subsidiary.
  • Quantity: Hover over the column, displaying the info “Quantity per contract line”. This is the total quantity of a product per contract line. There can be more than 1 product per contract, so this should be seen as the total contract line quantity per product.
  • Unit: The quantity unit used in the contract is displayed in this column. On hover, the column displays the info text “Quantity unit”.
  • Pricing unit: The pricing unit used in the contract is displayed in this column. On hover, the column displays the short info text “Unit the contract is priced in.”
  • Contract value in base currency: Hover over the column, displaying the “Total contract value in base currency”. This is the total contract value for a product. There can be more than 1 product per contract, so this should be seen as the total contract value per product.
  • Contract value in F.C: Hover over the column, displaying the info “Total contract value in foreign currency”.’ This will display the value of the contract in the foreign currency or the currency used for the contract.
  • Delivered quantity: Hover over the column, displaying the info “Delivered quantity to stock”.This is finalized delivered quantity to stock and does not include back-to-back deliveries.
  • Back to Back delivered quantity: Hover over the column, displaying the info “Back to back quantities supplied”. This finalized delivered quantity went back-to-back; it does not include the delivered quantity to stock.
  • Total delivered quantity: Hover over the column, displaying the info “Total supplied quantity”. This is a sum of finalized deliveries to stock and back-to-back deliveries. This can be seen as a sum of columns delivered and back-to-back delivered quantity.
  • Return: Hover over the column, displaying the info “Returned quantity”. Some ordered quantities may be returned in the order screen by using the return lots function. This creates a negative quantity order line. The sum of those negative quantities will be displayed in this column.
  • Amortized: Hover over the column, displaying info “Extra booked off quantity”. When the remainder of a contract is no longer being supplied for various reasons, you can enter a quantity in the booked off-the-field in the contract UI to set the contract to 0. This causes “still to be ordered” to get a 0 quantity, and the contract will no longer appear as if it still has an open quantity.
  • To be delivered quantity: Hover over the column, displaying the info “open contract quantity”. Quantity on a contract that is not delivered yet or planned.
    • Calculation: To be delivered quantity = Quantity – (Total delivered quantity + Amortized + Return)
  • Planned Quantity: Hover over the column displaying the info “Planned contract quantity”. This is the sum of the quantity of all orders that aren’t finalized yet for the contract.
  • Schedule: Hover over the column, displaying the info “Delivery”. This column will give you the scheduled delivery time mentioned in the contract.
  • Product Text line 1: This is product text line 1 of the contract screen dropdown. On Hover, it displays the info text “Product text line 1”.
  • Product Text line 2: This is product text line 2 of the contract screen dropdown. On Hover, it displays the info text “Product text line 2”.
  • Email approved: Hover over the column, which will display the info “Authorized contract on”.This shows whether or not a contract has been authorized for e-mail. If it has been authorized, it will show a date and timestamp; otherwise, no. The method of authorization for contracts is by checking the ‘Allow email’ checkbox at the top of a contract.
  • Attachments added: Hover over the column, displaying the info “Attachments added to contract”. If 1 or more attachments are added/uploaded to the contract in the contract interface screen, the column will show ‘yes’ otherwise ‘no’.
  • Document Title: Hover over the column, displaying the info text “Document Title”. This column displays the file names separated by a comma if uploaded to a contract in the contract UI.
  • Internal Remarks: Hover over the column displaying the info “Internal contract Remarks”.These are internal remarks on the contract UI and are only used for internal use. They won’t be printed on any documents.
  • Certificates: Any certifications selected from the dropdown menu certificates are shown in this column. On Hover, it displays the message “The certificates associated with the relation”.
  • Payment Condition: The payment condition of the contract is displayed in this column. On hover, the column displays the short info text “Payment condition.”
  • Reference price per ton in FC: The column displays the reference price per ton as per the contract (or contract line in case of multiple products per contract) in the currency used in the contract. On hover, the column displays the short info text “reference price per ton in foreign currency.”
  • Reference price per ton in BC: The column displays the reference price per ton as per the contract (or contract line in case of multiple products per contract) in the base currency of the subsidiary associated with the contract. On hover, the column displays the short info text “Reference price per ton in base currency.”
  • Remarks: The contract remarks are displayed in this column. The value is fetched from the field “contract remarks” of the associated contract. On hover, the column displays the short info text, “Remarks chosen in the stock or placed at stock lot.”

Accounts and Financial

  • Unable to find invoice for export in current month

    Invoices are displayed on the export screen in a particular month. The month of the invoice is taken from the invoice date and not from another date, such as the due date.

    The invoice date is therefore leading in terms of month for export periods. For example: Invoice date 22-05-2022 and due date 15-06-2022. This invoice will appear in the export under the month May.
