Expanded Stock

General description #

The expanded stock lets you get an overview of the quantity of products left in your stock. This report gives you the available quantity of the products in your company on a specific date. You can set this date in the reference date filter. The stock is usually stored in third-party or own warehouses. Thus you can filter the details in the report per warehouse, product, etc. It also shows the current value of the stock and detailed costs. It helps you track the available stock at use in sales. It also helps to check how much stock you have at the end of each month to close the month.

Additional Filters #

There are three additional filters available in this report to help you to narrow down the search results in the report as per your requirement.

  1. Reference date: The reference date filter enables you to check the position of stock on a particular date, prior to or post today as well.
  2. Cost type: You can display data in the report as per the two cost-type filters, i.e., 
    • Expected and Finalised cost: The selection takes both expected and finalized order costs and transport order costs into account and displays them accordingly in their respective columns.
    • Finalized Cost: This setting only takes finalized order costs and transport order costs into account in their respective columns, and leaves expected costs out.
  3. Stock Type: You can choose to display the stock of any type (Economical, Technical, and Accounting) from the additional filters in the report.
    • Economical: This setting considers both the planned and finalised orders for displaying the stock quantity.
    • Technical(default setting): This setting shows the quantity of the stock based on finalized orders only and does not take planned orders into account.
    • Accounting: This setting for the custom stock report only deducts sales from stock at the invoice date. This allows closing a financial period more easily.

Columns #

  • Subsidiary: This column displays the operating subsidiary of the order. On hover, displays the info text/description “Subsidiary that owns the contract/lot”.
  • Analysis: Any analysis costs added in the order are displayed in this column.  On hover, the column displays the info text “Analysis of a stock lot or production order”.
  • Loading date: This is the loading date of the order on which the lot was picked up before storing it in the warehouse. On hover, the column displays the info text “Loading date of the lot”.
  • Unloading date: This is the unloading date of the order on which the lot was picked up before storing it in the warehouse. On hover, the column displays the info text “Unloading date for the lot”.
  • Unit: The column displays the quantity unit of the source contract of the lot. On hover, the column displays the info text “Quantity unit”.
  • Pricing Unit: This column specifies the pricing unit used for the product in the source contract of the lot. On hover, the column displays the short info text “Unit the contract is priced in.”
  • Our reference: This column displays a reference number that is generated for an order from the Purchase contract number and Order number or warehouse reference. On hover, the column displays the info text “Reference number of the lot as known by the subsidiary”.
  • Warehouse reference: The warehouse ref number or code entered in the orderline of the related order is displayed in this column. On hover, the column displays the info text “Reference number of the lot as known by the warehouse”. This number is supplied by the warehouse at which the lot is being stored.
  • Supplier reference: Any reference number related to the supplier is displayed in this column. On hover, the column displays the info text “Reference number of the supplier”.
  • Relation Name: The column displays the relation which can be the buyer or the seller of the product used in the lot. On hover, the column displays the info text “Buyer/seller of the product”.
  • Warehouse: This column gives the physical location where a lot is being stored in a warehouse. On hover, the column displays the short description “Warehouse where the lot is stored”.
  • Product group: The column displays the product group to which the product used in order belongs. On hover, the column displays info text “The product group the product belongs to”.
  • Product code: The shortcode of the product is displayed in the column. On hover, the column displays the info “Shortcode of the product”.
  • Packaging: The packaging used for the product is displayed in this column. On hover, the column displays the short description “Packing of the Product”.
  • Factory number: This is the factory number entered on the source side of an orderline or lot screen. On hover, the column displays the info text “Factory number”.
  • Cleared: The column displays whether the lot is customs cleared or not. On hover, the column displays the short description “Stock lot Cleared”.
  • Expiry date: The column displays the expiry date of the stored lot or production order that you can enter either in the order line or production order screen in the field’ production date’. On hover, the column displays the short description “Expiry date of the stored lot or production order”.
  • Client Invoice number: This is the invoice number given by the supplier on the purchase invoice that you enter in the purchase booking screen in the field ‘Invoice no. creditor’. On hover, the column displays the short info text “Invoice number sent by the client for this lot”.
  • Product specification: The product specifications of the product are displayed in this column. You can enter a specification per product in the contract. On hover, displays the info text “Product specifications”.
  • Product description: The description of the product is displayed in the column. On hover, the column displays the short description “Product Description”.
  • Country of origin: This column will display the origin country of the product. On hover, the column displays the short text “Country of origin”.
  • Purchase: The original quantity of the product purchased is displayed in this column. On hover, the column displays the info text “Original Purchase quantity”.
  • Sales: The total sold quantity from the lot or production order is displayed in this column. On hover, the column displays the info text “Sold Quantity on the lot or production order”.
  • From Movement: The quantity of product moved into this stock lot to create this lot is given in this column. On hover, the column displays the info text “Moved in-stock quantity”.
  • To movement: The quantity of the stock that was moved out from this lot to create a new lot(s). on hover, the column displays the short info text “Moved out stock quantity”.
  • Blended of: The total quantity of the stock lot that has been used to create new production order lots is displayed in this column. On hover, the column displays the short info text “Total quantity used for production orders”.
  • Blended at: The total quantity of the stock lot that spawned from the production order. On hover, the column displays the info text “Total quantity production quantity of this lot”.
  • Revaluation quantity: The column displays the revaluation quantity of the stock lot. On hover, the column displays the short info text “Revaluated stock quantity”.
  • Production difference: This column shows the difference in total source and resultant quantity of production order. On hover, the column displays the short info text “Production difference”.
  • Stock Quantity: The column gives the total stock quantity left in the lot. On hover, the column displays the short info text “Remaining stock”.
  • Quantity in transit: The column displays the stock quantity if the reference date entered is between the loading and unloading date of the order. If the reference date is equal to the unloading date it will display “0” as the quantity will be displayed in the column “Stock Quantity”. On hover, the column displays the short info text “In transit Stock Quantity”.
  • In transit: The column shows the status of whether the stock quantity is in transit or available at the warehouse. If the reference date is between the loading date or unloading date, it will display “Yes” otherwise ‘No”..On hover, the column displays the short info text “In transit Status”.
  • Quantity per packing: The column gives the number of products in each packaging unit. On hover, the column displays the short info text “Weight per packaging’”.
  • Amount of packings: The column displays the number of packaging used in the lot. On hover, the column displays the short info text ‘”Remaining amount of packing”.
  • Price per MT: The price per 1000 units in a lot is displayed in this column. On hover, the column displays the short info text “Price per 1000 units”.
  • Revaluation Price Per ton: The column displays the revaluation cost per 1000 units added to the lot screen for the stock lot. On hover, the column displays the short info text “Revaluation costs per 1000 units”.
  • Analysis costs Price Per ton: The column displays the Analysis cost per 1000 units of product. On hover, the column displays the short info text “Analysis cost per 1000 units”.
  • Anti Dumping costs price per ton: The column displays the Anti Dumping cost per 1000 units of product. On hover, the column displays the short info text “Anti-dumping costs per 1000 units”.
  • Commission costs price per ton: The column displays the Commission cost per 1000 units of product. On hover, the column displays the short info text “Commission costs per 1000 units”.
  • Demurrage costs price per ton: The column displays the Demurrage cost per 1000 units of product. On hover, the column displays the short info text “Demurrage costs per 1000 units”.
  • Document costs price per ton: The column displays the Document cost per 1000 units of product. On hover, the column displays the short info text “Document costs per 1000 units”.
  • Expedition costs price per ton: The column displays the Expedition cost per 1000 units of product. On hover, the column displays the short info text “Expedition costs per 1000 units”.
  • Estimated storage costs price per ton: The column displays the estimated storage costs per 1000 units of product. On hover, the column displays the short info text “Est. storage costs per 1000 units”.
  • Import duties price per ton: The column displays the Import duties cost per 1000 units of product. On hover, the column displays the short info text “import duties costs per 1000 units”.
  • Production price costs per ton: The column displays the Production cost per 1000 units of product. On hover, the column displays the short info text “Production price costs per 1000 units”. Production costs are added to the production order screen when you create a new production order.
  • Storage costs price per ton: The column displays the Storage cost per 1000 units of product. On hover, the column displays the short info text “Storage costs per 1000 units”. Storage costs are calculated based on the storage costs (per week) entered in the relation root data at which the stock lot is being stored.
  • Misc costs price per ton: The column displays the Miscellaneous cost per 1000 units of product. On hover, the column displays the short info text “Miscellaneous costs per 1000 units”.
  • Misc transport costs price per ton: The column displays the Miscellaneous transport cost per 1000 units of product. On hover, the column displays the short info text “MIscellaeous transport costs per 1000 units”.
  • Interest costs price per ton: The column displays the Interest cost per 1000 units of product. On hover, the column displays the short info text “Interest costs per 1000 units”.
  • Terminal container costs price per ton: The column displays the Terminal cost per 1000 units of product. On hover, the column displays the short info text “Terminal/container costs per 1000 units”.
  • Transport costs price per ton: The column displays the Transport cost per 1000 units of product. On hover, the column displays the short info text “Transport costs per 1000 units”. Transport orders are the linked transport orders to the order screen and are divided in relation to the weight of each order line.
  • Cutting costs price per ton: The column displays the Cutting cost per 1000 units of product. On hover, the column displays the short info text “Cutting costs per 1000 units”.
  • Processing costs price per ton: The column displays the Processing cost per 1000 units of product. On hover, the column displays the short info text “Processing costs per 1000 units”.
  • Value per ton: The sum of purchase costs price per ton to processing costs price per ton is the value per ton of a product. The column displays the Value cost per 1000 units of product. On hover, the column displays the short info text “Value per 1000 units including extra costs”.
  • Remaining analysis costs: The column displays the Remaining analysis cost of the product. On hover, the column displays the short info text “Analysis value of the remaining quantity of stock”.
    • Calculation: Analysis costs per ton * (StockQuantity/1000)
  • Remaining anti-dumping costs: The column displays the remaining value of the anti-dumping costs of the product. On hover, the column displays the short info text “Remaining anti-dumping costs”.
  • Remaining commission costs: The column displays the remaining commission cost of the product. The remaining commission cost is based on linked purchase commission costs. On hover, the column displays the short info text “Remaining commission costs”.
  • Remaining demurrage costs: The column displays the remaining value of the demurrage costs of the product. On hover, the column displays the short info text “Remaining demurrage costs”.
  • Remaining document costs: The column displays the remaining value of the document costs of the product. On hover, the column displays the short info text “Remaining document costs”.
  • Remaining expedition costs: The column displays the remaining value of the expedition costs of the product. On hover, the column displays the short info text “Remaining expedition costs”.

  • Current exchange rate: This is the current exchange rate of the foreign currency (if applicable) used for the purchase of the stock lot or production order. On hover, the column displays the info text “Current exchange rate of foreign currency”.
  • Counter contract exchange rate: The remaining value of the stock lot against the exchange rate used on the original purchase contract is displayed in this column. On hover, the column displays the info text “Remaining value against exchange rate”.
  • Counter current exchange rate: This column gives the value of the stock lot or production order against today’s foreign currency exchange rate. On hover, the column displays the info text “Value of the stock lot against today’s exchange rate”.
  • Attachments: All the attached documents are displayed in this column. On hover, the column displays the info text “Attachments”.
  • Remarks: The remarks placed in the stock lot UI per stock lot are displayed in this column. On hover, the column displays the info text “Remarks chosen in the contract or placed at stock lot”.
  • Customs ref number: The column displays the customs reference number filled in the order line. This field is only used by companies licensed to manage and store customs goods. Documents that contain this number are for example Doc EX1, Doc T1 etc. On hover, the column displays the info text “Customs number field for Doc EX1, Doc T1 etc”.
  • Production date: Production date of the stored lot or production order that you can enter either in the order line or production order screen in the field’ production date’ is given in this column. On hover, the column displays the short info text “Production date of the stored lot or production order”.
  • Reserved by: The column displays the username that has reserved the stock lot or any quantity from the stock lot (if made any reservation in the stock). On hover, the column displays the short info text, “Reserved by.”
  • Reserved Quantity: The quantity that was reserved is displayed in this column. On hover, the column displays the short info text, “reserved quantity.”
  • Reservation remarks: The reservation remarks made by the user while reserving the quantity from the stock lot are displayed in this column. On hover, the column displays the short info text, “Reservation remarks.”
  • Reserved until: The column displays the time until the stock or quantity of stock is reserved. On hover, the column displays the short info text, “Reserved until.”
  • Product Analysis: Next follows the product analysis field section that is expandable. This section displays the various product analysis fields and their values for each lot.
    Please note that these product analysis fields displayed in the report can also be added by the user manually using the product analysis in rootdata.

FAQ'S

Accounts and Financial

  • Unable to find invoice for export in current month

    Invoices are displayed on the export screen in a particular month. The month of the invoice is taken from the invoice date and not from another date, such as the due date.

    The invoice date is therefore leading in terms of month for export periods. For example: Invoice date 22-05-2022 and due date 15-06-2022. This invoice will appear in the export under the month May.
