Sales overview

General description #

The sales overview report provides a summary of all sales contracts for your organisation. The report includes details of all sales contracts and orders. The report shows the current balance of each sales contract, helping you see how much quantity is still available. You can also find information on the quantity that is planned, invoiced, and amortized (which won’t be delivered). This report helps in planning, tracking sales contracts that can be closed, and calculating the average supply to a specific buyer or region.

Columns #

All the column details are fetched from the selected contract.

  • Contract Date: This contains the closing date of the sales contract. On hover, it displays the infotext “Date contract was closed”. This displays the date the contract was closed and not the date the contract was put in the system. These two dates can differ. You can enter the creation date manually in the interface.
  • Contract Number: This column shows the contract number of the contract entered. On hover, it displays the message “Contract number”.
  • Subsidiary: This column shows the name of the subsidiary for which the contract has been made. On hover, it displays a short message “Subsidiary that owns the contract/lot”.
  • Broker Contract: This column displays the contract number assigned to the broker. On hover, it displays the message “Contract number of the broker”.The broker will have their own contract number when involved in a trade between the subsidiary and the supplier. You can enter the broker contract number in the field.
  • Broker: The broker column shows the name of the broker involved in a contract. When hovered on the broker column, it shows the message “Broker involved with this contract”. For each contract, you can choose a broker who is involved with this contract. A broker will take some percentage of the total amount of the trade.
  • Country of Origin: On hover, it displays “Country Of Origin”. It shows the country of origin the product is from.
  • Trader: This is the trader dropdown and basically signifies who closed this contract. On hover, it displays a short message “Trader/Sender of Contract”. Whoever puts the contract in Qbil-Trade is not always the same as the user who closes the contract.
  • Counter Contract Number: This column shows the contract number of the supplier. On hover, displays “Contract number as known by the supplier”.The supplier will almost always have their own contract number. You can enter it in the counter contract number field to refer to the contract as it is known to them, if necessary.
  • Relation name: The relation/buyer that the product needs to be sent to. On hover, displays the text “buyer/seller of the product”.
  • Logistic employee: The internal contact person associated with the contract is shown in this column. On hover, displays the info text “Responsible logistic employees”.
  • Product Code: On hover, display the message “Short code of the product”.This is the product code used on the contract that the supplier will deliver.
  • Product group: On hover, displays the short message “the product group the product belongs to”. This is the product group the product is part of and is defined in the product root data.
  • Product Specifications: You can enter a specification per product on the contract in the specification field which will be shown in the product specification column. On hover, shows “Product Specification”.
  • Textline1, 2 & 3: You can choose fixed text lines from the dropdown in the contract. This is the first and second text line used in the contract.
  • Packaging: This column shows the type of packaging chosen for the product in the contract. On hover, displays the message “Packing of product”.
  • Delivery Condition: These are the incoterms or delivery conditions agreed per contract, who needs to pick/ship it up from/until where. On hover, the column displays the short info text “Delivery conditions.”
  • Currency: This column mentions the currency in which the payment will be made for the contract. On hover, displays a short message “Contract currency”.
  • Base Currency: The currency of the operating subsidiary for the contract is displayed in this column. On hover, it displays the info text “Base currency.”
  • Location/delivery address: The address selected for the delivery is displayed in this column. On Hover, it displays the info text “Address chosen for delivery”.
  • Exchange rate: This shows the exchange rate of the currency the contract was agreed upon. On hover, it displays the text “Currency exchange rate”.
  • Price per ton F.C: This shows the price of the product per 1000 units in the currency used in the contract. On hover, displays the message, “Price per 1000 units in Foreign Currency”.
  • Price per ton in base currency: This is the price for the product per 1000 units in base currency. On hovering, displays the message “Price per 1000 units in base currency”.
  • Quantity: This is the total contract quantity for a product. There can be more than 1 product per contract so this should be seen as the total contract quantity per product. When hovered on the column name, displays the text “Quantity per contract line”.
  • Unit: This is the unit for a product. There can be more than one product per contract so this should be seen as a unit per product. On hover, shows “ Quantity unit”.
  • Contract value in base currency: This is the total contract value for a product in base currency. There can be more than one product per contract so this should be seen as the total contract value per product. On hover, it displays the text “Total contract value in base currency”.
  • Contract value in F.C: This is the total contract value of the product in the currency used for the contract. There can be more than one product per contract so this should be seen as the total contract value per product. On hover, it displays the text “Total contract value in foreign currency”.
  • Pricing Unit: The pricing unit from the contract is given in this column. The pricing unit is used for invoicing. On hover, the column displays the short info text “Unit the contract is priced in.”
  • Delivered quantity: This is finalized delivered quantity to stock & does not include back-to-back deliveries. On hover displays, the message “Delivered quantity to stock”.
  • Back to back delivered quantity: This is finalized delivered quantity that went back-to-back & does not include the delivered quantity to stock. When hovered over, displays the message “Back to back quantities supplied”.
  • Total delivered quantity: This is a sum of finalized deliveries of both to stock and back-to-back deliveries. This can be seen as a sum of the delivered quantity and Back to Back delivered quantity. On hover, displays the text “Total supplied quantity”.
  • Amortised: When the remaining quantity of a contract is no longer being supplied for various reasons, you can enter the quantity in the Amortized field in the contract UI to set the contract to 0. This causes “still to be ordered” to get a 0 quantity and the contract will no longer appear as if it still has an open quantity. On hover, displays the text “Extra booked-off quantity”.
  • To be delivered quantity: Quantity on a contract that is not delivered yet or planned. On hover, displays the message “Open contract Quantity”.
    • Calculation: To be delivered quantity = Quantity – (Total delivered quantity + Amortized)
  • Planned Quantity: This is the sum of the quantity of all orders that aren’t finalized yet for this contract. On hover, displays the text message “Planned Contract Quantity”.
  • Planned Quantity with unknown Source: It shows the sum of all quantities for this contract that has a planned order but with the source still unknown (no purchase contract or stock lot attached). On hover, displays the text message “Planned quantity with unknown source”.
  • Invoiced Quantity: It shows the sum of the quantities of the report that have been invoiced to the buyer (so far). On hover, shows “Quantity invoiced to client”.
  • Schedule: This shows the text as entered in the schedule field in the contract interface. On hover, it displays the message “Delivery”.
  • Product Textline1: This is product text line 2 selected in the contract screen dropdown. On hover, it displays “Product text line 2”
  • Product Textline1: This is product text line 2 selected in the contract screen dropdown. On hover, it displays “Product text line 2”.
  • Country: This is the 2-letter code of the destination address where the products will be unloaded. This only applies to contracts that have the dropdown choice filled and not to contracts that use the free text field next to it. On hover, it shows the text “The country code of the relation”.
  • Region: This column displays the region of the unloading address. On hover, the column header displays “Region of the country”.
  • Email Approved: This shows whether or not a contract has been authorized for e-mail. If it has been authorized it will show a date and time stamp, otherwise not. The method of authorisation for contracts is by checking the ‘Allow email’ checkbox at the top of a contract. On hover, it displays “Authorised contract on”.
  • Internal Remarks: These are internal remarks added to the contract interface and are only used for internal purposes. On hover, displays “Internal Contract remarks”.
  • Attachments Added: This column displays if any attachments are added to the contract or not. On hover, shows the message “Attachments added to contract”.
  • Document Title: Any title added to the attached documents is displayed in this. On hover, it shows the text “Document Title”.
  • Time of Delivery: Custom field on the contract UI per contract line. On hover, displays “Time of delivery”.
  • Certificates: Any certifications selected from the drop-down menu in the contract are shown in this. On hover, displays the message “The certificates associated with the relation”.
  • Payment Condition: The payment condition of the contract is displayed in this column. On hover, the column displays the short info text “Payment condition.”
  • Reference price per ton in FC: The column displays the reference price per ton as per the contract (or contract line in case of multiple products per contract) in the currency used in the contract. On hover, the column displays the short info text “reference price per ton in foreign currency.”
  • Reference price per ton in BC: The column displays the reference price per ton as per the contract (or contract line in case of multiple products per contract) in the base currency of the subsidiary associated with the contract. On hover, the column displays the short info text “Reference price per ton in base currency.”
  • Remarks: The contract remarks are displayed in this column. The value is fetched from the field “contract remarks” of the associated contract. On hover, the column displays the short info text, “Remarks chosen in the stock or placed at stock lot.”

Accounts and Financial

  • Unable to find invoice for export in current month

    Invoices are displayed on the export screen in a particular month. The month of the invoice is taken from the invoice date and not from another date, such as the due date.

    The invoice date is therefore leading in terms of month for export periods. For example: Invoice date 22-05-2022 and due date 15-06-2022. This invoice will appear in the export under the month May.
