Pre Payment Contracts

General description #

The Pre-Payment contracts report gives you an overview of all contracts(purchase and sales) that are prepaid (either fully or partially).

The report is available only for customers with configuration pre-payment enabled.

Columns #

  • Subsidiary: The name of the operating subsidiary for the contract is displayed in this column. On hover, it displays the short info text “Subsidiary that owns the contract/lot”.
  • Contract Number: The Contract number (sale or purchase) is given in this column. On hover, it displays the short info text “Contracts number”.
  • Relation name: The company name of the customer(buyer) or seller related to the contract is displayed in this column. On hover, it displays the short info text “Buyer/seller of the product”.
  • Payment condition: The payment conditions from the contract are displayed in this column. On hover, it displays the short info text “Payment condition”.
  • Currency: The currency used for the contract is given in this column. On hover, it displays the short info text “Currency”.
  • Base Currency: The currency of the operating subsidiary for the contract is displayed in this column. On hover, it displays the info text “Base currency.”
  • Contract Value in F.C: The total contract value in the currency used for the contract is displayed in this column. On hover, it displays the short info text “Total contract value in foreign currency”.
  • Contract Value in Base Currency: The total contract value in the base currency of the subsidiary is displayed in this column. On hover, it displays the short info text “Total contract value in base currency”.
  • Prepayment Percent: The pre-paid percentage from the total contract value is displayed in this column. On hover, it displays the short info text “Pre-paid percentage from the total contract value”.
  • Prepayment currency: The currency used in pre-payment is given in this column. The value is fetched from the Proforma invoice related to the contract. On hover, it displays the short info text “Currency used in pre-payment”.
  • Prepayment amount F.C: The pre-paid amount in the currency used for the contract is displayed in this column. The value is fetched from the Proforma invoice related to the contract. On hover, it displays the short info text “Pre-paid amount in foreign currency”.
  • Prepayment amount base currency: The pre-paid amount in the currency used for the contract is displayed in this column. The value is fetched from the Proforma invoice related to the contract. On hover, it displays the short info text “Pre-paid amount in base currency”.
  • Remaining percentage: The remaining percentage unpaid from the contract value is displayed in this column. On hover, it displays the short info text “Remaining percentage unpaid from the contract”.
    • Calculation: Remaining percentage = 100% – prepayment percent.
  • Remaining Amount in F.C.: The remaining amount unpaid in the currency used for the contract is displayed in this column. On hover, it displays the short info text “Remaining amount Foreign currency”.
    • Calculation: Remaining Amount F.C = Contract Value F.C. – Prepayment amount F.C
  • Remaining Amount in Base currency.: The remaining amount unpaid in the base currency of the subsidiary is displayed in this column. On hover, it displays the short info text “Remaining amount base currency”.
    • Calculation: Remaining Amount base currency = Contract Value base currency – Prepayment amount base currency
  • Pricing Unit: This column specifies the pricing unit used for the product in the contract. On hover, the column displays the short info text “Unit the contract is priced in.”
  • Payment date: The date of the pre-payment added in the proforma invoice of the contract is displayed in this column. On hover, it displays the short info text “Date of the pre-payment added in the proforma invoice of the contract”.
  • Quantity: The contract quantity is given in this column. On hover, the column displays the short info text “Quantity per contract line.”
  • Quantity Unit: The quantity unit used in the contract is displayed in this column. On hover, the column displays the short info text “Unit used in quantity.”
  • Planned amount in F.C.: The value of product quantity in contract currency that has been planned and ordered but not finalised yet. On hover, it displays the short info text “Planned amount for the contract in foreign currency”.
    • Calculation: Planned amount in F.C = Planned quantity/1000 * price per 1000kg(in foreign currency)
  • Planned amount in base currency: The value of product quantity in the base currency of the subsidiary that has been planned and ordered but not finalised yet. On hover, it displays the short info text “Planned amount for the contract in base currency “.
    • Calculation: Planned amount in base currency = Planned quantity/1000 * price per 1000kg(in base currency).
  • Total Supplied Amount foreign currency: The value of product quantity delivered from the contract is displayed in this column. The value is displayed in the foreign currency used in the contract. On hover, it displays the short info text “Amount of total quantity delivered from the contract in foreign currency”.
  • Total Supplied Amount base currency: The value of product quantity delivered from the contract is displayed in this column. The value is displayed in the base currency of the subsidiary. On hover, it displays the short info text “Amount of total quantity delivered from the contract in base currency”.
  • Amortized amount F.C.: The amount for the amortised quantity(if any) for the contract is displayed in the currency used for the contract in this column. On hover, it displays the short info text “Extra booked- off quantity amount in Foreign currency”.
  • Amortized amount Base currency.: The amount for the amortised quantity(if any) for the contract in the base currency of the subsidiary is given in this column. On hover, it displays the short info text “Extra booked- off quantity amount in base currency”.
  • Invoiced Quantity Amount Foreign currency: The amount for the invoiced quantity from the contract in the currency used for the contract is displayed in this column. On hover, it displays the short info text “Quantity invoiced amount Foreign currency”.
  • Invoiced Quantity Amount Base currency: The amount for the invoiced quantity from the contract in the base currency of the operating subsidiary of the contract is displayed in this column. On hover, it displays the short info text “Quantity invoiced amount Base currency”.
  • Undelivered quantity amount in Foreign Currency: This column displays the amount of the contract quantity that is yet to be delivered. This column contains the value for the currency used in the contract. On hover, the short information text “Contract quantity amount yet to be delivered in foreign currency” appears.
  • Undelivered quantity amount in Base Currency: This column displays the amount of the contract quantity that is yet to be delivered. This column gives the value for the base currency of the subsidiary. On hover, the short information text “Contract quantity amount yet to be delivered in base currency” appears.
  • Undelivered quantity: The contract quantity yet to be delivered is displayed in this column. On hover, it displays the short info text “Undelivered quantity”.
  • Period: The period(month) of planning is given in this column. On hover, it displays the short info text “Period”.
  • Invoice supplier numbers: The supplier’s invoice number is displayed in this column. The value is fetched from the field “Invoice no. Creditor” of the purchase invoice related to the order. On hover, it displays the short info text “Supplier’s invoice number”.

Accounts and Financial

  • Unable to find invoice for export in current month

    Invoices are displayed on the export screen in a particular month. The month of the invoice is taken from the invoice date and not from another date, such as the due date.

    The invoice date is therefore leading in terms of month for export periods. For example: Invoice date 22-05-2022 and due date 15-06-2022. This invoice will appear in the export under the month May.
